How to Sync SharePoint to Your Computer Using OneDrive

What Is SharePoint Sync and Why Does It Matter?

If your company uses Microsoft 365, your files are most likely stored in SharePoint — Microsoft's cloud document platform. Syncing SharePoint to your computer means you can access, open, and edit those files directly from File Explorer (Windows) or Finder (Mac), just like any normal folder on your desk, with no browser needed.

This is one of the most common IT support requests we handle at Al Aida IT for our clients across Dubai, Abu Dhabi, and the UAE. If you are not yet set up, follow the steps below.


Before You Start

  • You need Microsoft OneDrive installed on your computer. On Windows 11 it comes pre-installed. On Mac or Windows 10, search your apps — if it is not there, ask your IT team to install it.
  • You need to be signed in to OneDrive with your work Microsoft 365 account (your company email address).
  • You need access to your company's SharePoint site. Your IT administrator will have shared the link with you.

Method 1 — The Sync Button (Easiest) 

  1. Open your browser (Edge or Chrome) and go to your SharePoint site link.
  2. Click on Documents in the left-hand menu to open the document library.
  3. Click the Sync button in the top toolbar. It has a cloud icon next to it.
  4. Your browser will ask to open OneDrive — click Open or Allow.
  5. Wait for the OneDrive icon in your taskbar to finish spinning. A green tick means it is done.
  6. Open File Explorer and look on the left side — you will see your company's SharePoint folder listed under OneDrive.

From now on, any file you save in that folder is automatically saved to SharePoint. Your colleagues will see your changes in real time.

Method 2 — The Three-Dots Menu

If you cannot find the Sync button, or want to sync a specific sub-folder only:

  1. Open the Documents library in SharePoint (same as above).
  2. Look for the three dots (⋯) in the toolbar near the top of the file list.
  3. Click the three dots — a small menu appears.
  4. Select Sync from the menu and follow the same steps as Method 1 from Step 4 onward.

Tip: You can also right-click on any specific folder name in SharePoint to get the three-dot menu and sync only that folder.


Common Problems and Quick Fixes

Problem What To Do
No Sync button visible Make sure you are inside the Documents library page, not just the site homepage. Refresh and try again.
Files not updating Check the OneDrive cloud icon in your taskbar. If there is a red X, click it to see the error. Usually signing out and back in to OneDrive fixes this.
Browser asks to open OneDrive but nothing happens Make sure OneDrive is installed and running. Open OneDrive from your Start menu first, then try syncing again.
Wrong account signed in Make sure you are using your work email address, not a personal Microsoft account.
Accidentally deleted a file Go to the SharePoint site, find the Recycle Bin on the left side. Files are kept there for 93 days.
