This guide explains how OneDrive works and how to configure it properly for your UAE business.
Step 1 — Ensure your team has Microsoft 365 licences: OneDrive for Business comes included with Microsoft 365 Business Basic, Standard, and Premium plans. If your employees do not yet have licences, your IT administrator can assign them through the Microsoft 365 Admin Center. Each user gets 1TB of cloud storage.
Step 2 — Install and configure the OneDrive sync client: On each company laptop or desktop, install the OneDrive sync client from Microsoft's website or via Microsoft Intune. Once installed, sign in with the user's Microsoft 365 work account. The OneDrive folder will appear in Windows Explorer, allowing users to access their files exactly as they would on a local drive.
Step 3 — Sync key folders: Enable the "Known Folder Move" feature in OneDrive, which automatically syncs the Desktop, Documents, and Pictures folders from each computer to OneDrive. One of the most important aspects of using OneDrive in a business context is managing who can share files and with whom. By default, OneDrive allows users to share files with anyone using a link — this is too permissive for most UAE businesses dealing with client confidential data. As an administrator, you should restrict sharing to organisation members only, or require approval for external sharing.
In the Microsoft 365 Admin Center or SharePoint Admin Center, you can set sharing policies at the tenant level. Al Aida IT recommends configuring the following baseline settings: prevent sharing with external users by default, require sign-in to access shared links, and enable expiry dates for shared links. These settings reduce the risk of sensitive business data being accidentally shared outside your organisation.
