How to Enable and Use Microsoft 365 Backup

Introduction

Many UAE business owners assume that because their files are in Microsoft 365, they are automatically backed up and fully protected. This is a dangerous misconception. Microsoft 365 — including Exchange Online email, SharePoint, OneDrive, and Teams — does have some built-in redundancy to protect against hardware failure at the data centre level. However, it does not automatically protect you from accidental deletion, ransomware encryption, or deliberate data destruction. If a staff member accidentally deletes a critical SharePoint site or your emails are encrypted by ransomware, Microsoft's standard retention policies may not be enough to recover everything.

In 2023, Microsoft introduced Microsoft 365 Backup — a native, paid backup solution that provides comprehensive, point-in-time recovery for Exchange Online, SharePoint Online, and OneDrive. For UAE businesses that rely heavily on Microsoft 365 for their daily operations, this is a significant improvement in data protection. This guide explains what Microsoft 365 Backup does, how to enable it, and what businesses in Dubai and across the UAE need to consider.

What Microsoft 365 Backup Covers

Microsoft 365 Backup (available as an add-on through the Microsoft 365 admin centre) provides the following protection:

  • Exchange Online (Email): Point-in-time restore of individual mailboxes, with restore points going back up to 180 days. You can restore a single deleted email, an entire folder, or a complete mailbox to a specific point in time.
  • SharePoint Online: Restore entire SharePoint sites or individual files to a point in time within the last 180 days. Critical for recovering from accidental bulk deletions or ransomware attacks that encrypt SharePoint files.
  • OneDrive: Similar point-in-time restore capability for individual user OneDrive files and folders. Restores can be performed by admins even if the user's account has been deleted.

Pricing for Microsoft 365 Backup is based on the amount of storage backed up, charged per GB per month. For most small UAE businesses with modest email and file storage, costs are typically between AED 50 and AED 300 per month depending on total data volume.

How to Enable Microsoft 365 Backup

  • Step 1: Sign into the Microsoft 365 admin centre at admin.microsoft.com with a Global Administrator account.
  • Step 2: Navigate to Settings → Microsoft 365 Backup. If your tenant is eligible, you will see the Backup setup option.
  • Step 3: Enable Backup for the services you want to protect — Exchange Online, SharePoint, or OneDrive. You can enable all three or individual services.
  • Step 4: Configure which users, mailboxes, and SharePoint sites to include in the backup scope. You can back up all users or select specific ones.
  • Step 5: Review the pricing estimate based on your data volume, then confirm and activate.

Alternative: Third-Party Backup Solutions If Microsoft 365 Backup pricing is too high or you need additional features, third-party solutions like Veeam Backup for Microsoft 365, Acronis Cyber Backup, or Backupify provide similar or more comprehensive functionality, often at lower cost. At Al Aida IT Technology, we assess each UAE client's backup requirements under our IT AMC contracts and recommend the solution that best fits their data volume, recovery objectives, and budget.
