How to Configure Outlook for Remote Work Without VPN

Introduction

Many UAE businesses operate Microsoft Exchange servers on-premises, which historically required employees to be connected to the company VPN in order to access their work email, calendar, and contacts remotely using Microsoft Outlook. While this approach remains secure, it adds complexity — particularly for staff with limited technical knowledge who struggle to set up and maintain a VPN connection. Fortunately, there  are modern approaches that allow Outlook to work securely without a VPN.

For businesses that have migrated to Microsoft 365 (Exchange Online), Outlook already works over the internet natively and does not require a VPN. For businesses still running on-premises Exchange, there are configurations that allow secure remote Outlook access without VPN. This guide covers both scenarios and helps UAE businesses make the right decision for their environment.

Setting Up Outlook with Microsoft 365 (Exchange Online)

If your business uses Microsoft 365, your email is hosted in Microsoft's cloud (Exchange Online), and Outlook connects directly over the internet using secure HTTPS connections. No VPN is needed. To configure Outlook on a new device: open Outlook, enter your Microsoft 365 email address, and click Connect. Modern Authentication (OAuth 2.0) will prompt you to sign in via your browser, where you can complete Multi-Factor Authentication (MFA) if required.

To ensure Outlook is using the correct Microsoft 365 settings, go to File > Account Settings > Account Settings in Outlook, click on your account, and verify that the Server type shows "Microsoft Exchange" and the Server field shows an outlook.office365.com address. If you see an internal server name, Outlook is pointing to your on-premises server, not the cloud.

For mobile devices, the Outlook app for iOS and Android connects directly to Microsoft 365 using Modern Authentication without any VPN requirement, making it ideal for UAE employees working from home or on the go. Outlook Anywhere for On-Premises Exchange (Without VPN)

If your business runs on-premises Exchange Server (2013, 2016, or 2019), you can configure "Outlook Anywhere" (also called RPC over HTTPS) to allow Outlook to connect without a VPN. This feature routes Outlook traffic over HTTPS, so it works through standard internet connections. However, this requires your Exchange server to have a valid SSL certificate and to be published to the internet via your firewall — which introduces security considerations.

A safer alternative is to use a reverse proxy such as Microsoft Web Application Proxy (WAP) or Azure Application Proxy to publish Outlook Web App (OWA) securely, allowing users to access email through a browser without a VPN. This approach keeps your Exchange server behind the firewall while providing secure web-based email access.

Security Considerations for Remote Outlook Access

Whichever approach you use, always enable Multi-Factor Authentication (MFA) for remote email access. In Microsoft 365, MFA is configured through the Microsoft 365 Admin Center or Microsoft Entra ID. For on-premises Exchange, MFA can be added via Azure AD Application Proxy with Entra ID authentication.

Additionally, consider implementing Conditional Access policies in Microsoft 365 that restrict email access to compliant, managed devices. This prevents employees from accessing company email on personal devices that may be insecure. Your IT team or managed IT provider can configure these policies to balance security with usability.
